I. Our Approach

Meiji Yasuda Asset Management Company Ltd. (hereinafter referred to as MYAM) recognizes the importance of all the personal information (including identification numbers and personally identifiable information) it acquires from its customers, business partners and others, and actively strives to protect and manage personal information as a top management priority.

More specifically, we have established the privacy policy shown below and strive to properly use, protect and manage personal information acquired from our customers, business partners and others. We also endeavor to continuously revise and improve this privacy policy.

II. Our privacy policy

1. Compliance with relevant laws and regulations MYAM shall handle personal information in compliance with relevant Japanese laws and regulations and other relevant standards (hereinafter "laws and regulations").
2. Appropriate acquisition We shall acquire personal information through fair and lawful means and not by deception or other wrongful means.
3. Businesses in which personal information is used

MYAM shall acquire personal information to the extent necessary for use in the following businesses:

  1. 1.Business related to discretionary investment contracts, investment advisory business and business incidental thereto;
  2. 2.Investment trust management business and business incidental thereto; and
  3. 3.Other business MYAM is authorized to engage in (including business MYAM will be authorized to handle in the future).
4. Purposes of use

MYAM shall use personal information for the following purposes, where necessary, in relation to the businesses listed in 3. above. We shall not use personal information beyond the scope necessary to achieve these purposes without the prior consent of the individuals concerned or unless we are permitted to do so by laws and regulations.

  1. 1.To make solicitations of our products, conclude sales or agreements, advertise or provide services, or maintain, manage and administer agreements.
  2. 2.To assess the adequacy of our provision of products and services in light of the principle of appropriateness.
  3. 3.To accept applications for securities or services, including the opening of an account for transactions.
  4. 4.To report transaction details, investment results and asset balances to customers.
  5. 5.To verify the identity of the individuals concerned or confirm their proxies.
  6. 6.To conclude other agreements, give necessary notifications and implement administrative tasks.
  7. 7.To conduct research and development for financial products and services through market surveys, data analyses, questionnaires, etc.
  8. 8.To conduct more appropriate and smooth transactions with customers and business partners.

However, MYAM shall use identification numbers only within the scope necessary for the administrative tasks shown below and shall not use them for any other purpose.

  • To implement administrative tasks related to the preparation and submission of legal records of fees, charges, etc.
  • To implement other administrative tasks related to identification numbers stipulated in laws and regulations.

MYAM shall announce these purposes of use by publishing them on its website and in other publications.

5. Provision to third parties

MYAM may provide personal information to third parties in the following cases:

  1. 1.Where personal information is disclosed with the consent of the individual concerned;
  2. 2.Where the disclosure of personal data is required by laws and regulations;
  3. 3.Where the handling of personal information is entrusted, wholly or in part, to a third party within the scope necessary for achieving the purposes of use;
  4. 4.Where personal information is provided as a result of succession to the business by another business operator due to merger or other cause; and
  5. 5.Where personal information is used jointly with a specified party.

However, we shall not provide identification numbers or personally identifiable information to outside parties unless permitted to do so under the Act on the Use of Numbers to Identify a Specific Individual in Administrative Procedures (hereinafter, the "Numbers Act"), for example, in the case of submission to persons implementing administrative tasks using identification numbers or outsourcing of the handling of personally identifiable information, wholly or in part.

6. Joint use

MYAM and Meiji Yasuda Life Insurance Company shall jointly use personal data within the scope described below in order to manage their business operations and manage various risks.

7. Secure management We shall develop a management framework, including internal regulations, based on this policy and strive to take all steps reasonably necessary to prevent the leak, loss and damage of personal information and to otherwise securely manage personal information. We shall also conduct supervision of employees and contractors as is reasonably necessary.
We have also established strict security measures with respect to identification numbers and personally identifiable information in accordance with the Numbers Act.
8. Requests for disclosure, correction, etc. To request the disclosure, correction, addition, deletion or suspension of use of personal information held by us or to complain about our handling of personal information, please contact the member of staff who acquired the personal information or contact us using the contact details in III. below. We will promptly take the necessary action in accordance with our standard procedures.
